Based at Rosebery, the Post Production Team Coordinator will provide administrative support for the Director of Post Production as well as the Senior Corporate Post Production staff to assist in the efficient daily operations of the ESA Post Production department. REPORTING TO: Director of Post Production and Technical Services
OBJECTIVE: To provide administrative support for the Director of Post Production and senior corporate post production staff. To assist in the efficient daily operations of the ESA Post Production department.
LOCATION: Rosebery will be the primary location however you will be required to travel to and work from other ESA locations from time-to-time including Artarmon and McMahons Point.
Key Responsibilities & Duties
Administrative Support:
Provide preemptive support through the performance of clerical functions such as assisting with the Director’s schedule, arranging & coordinating meetings/conference calls as directed, preparing meeting locations, materials, parking and catering
Act as liaison for the Director of Post Production as well as the Corporate Post Production team and the wider business
Post Production/Event Coordination in conjunction with Facilities Coordinators, Post Production Managers and Production Teams
Managing collated TX and screening schedules, liaising with show teams
Arranging and managing events, corporate gifts, and travel
Attending meetings and recording minutes as requested
Drafting, preparing and distributing group emails/documents.
Group Coordinating:
Assisting Senior Corporate Post Production Staff in the coordination of corporate meetings and diary management
Coordinating Post Corp recoverable staff timesheets and assisting with on-charges to shows as appropriate in conjunction with the Facilities Manager and Post Production Accountant
Updating various future planning documents for the department as required
Assisting with coordinating off-site editing staff and required facilities
Scheduling support for the Technical Services department
General support for the Post Production team
Post Production Distribution:
Liaising with the Post Production Supervisors and Media Manager to maintain an overview of where various shows are with regard to International Delivery
Confirming delivery of all ancillary files to format holders and acting as a point person for general queries
Communicating distribution requirements to the Post PM, Post PA and Publicity Team per series as directed
Utilising the Facilities Assistants to collate and distribute materials
Scheduling of Post Production scripting as necessary in conjunction with the Facilities Manager
Role Requirements:
1 – 3 years experience in a Team Assistant / Coordinator role with event management experience a plus
Mac literate, Advanced Excel, Outlook & Word skills. Keynote/PowerPoint experience is a plus
Strong attention to detail and the ability to be assertive when required
Strong communication, inter-personal and relationship-building skills
Flexible, approachable, solution-oriented and a team player with a sense of fun
Ability to anticipate priorities and forward plan effectively
Ability to work independently and unsupervised
Demonstrating efficiency, diplomacy, confidentiality and professionalism at all times
